Applied AI LLC (“we,” “our,” or “Pace”) operates the Pace mobile application and related services. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our application.

1. Information We Collect

Account Information

When you create an account, we collect your email address, display name, and profile photo (optional). If you sign up with Apple or Google, we receive your name and email from those services.

Check-In Data

Each week, you submit check-in responses including goal progress ratings, workout counts, energy scores, and optional free-text reflections. This data is used to generate personalized AI coaching responses and track your progress over time.

Health and Fitness Data

If you use HealthOS features, we collect meal logs, workout logs, body measurements, weight entries, and progress photos you voluntarily provide. This data is used to generate personalized meal plans, workout programs, and nutrition guidance.

Usage Data

We collect analytics data about how you use the app, including screen views, feature usage, and session duration. This data is anonymized and used to improve the product.

Device Information

We collect device type, operating system version, and push notification tokens to deliver notifications and ensure app compatibility.

2. How We Use Your Information

• To provide and maintain the Pace service, including Squad matching and AI coaching
• To generate personalized AI coach responses based on your check-in history and goals
• To calculate Squad leaderboard rankings and streak data
• To send push notifications for check-in reminders, coach messages, and teammate activity
• To process subscription payments through our payment processor
• To improve and optimize the application
• To respond to support requests

3. Third-Party Services

We use the following third-party services to operate Pace:

• Google Firebase (Google Cloud Platform) -- authentication, database, cloud storage, analytics, and hosting
• Stripe -- payment processing for subscriptions. We do not store your full credit card number; Stripe handles all payment data
• Anthropic (Claude) -- AI coaching responses are generated using Anthropic's Claude API. Your check-in data and goals are sent to generate coaching responses. Anthropic does not use this data to train their models
• Apple and Google Sign-In -- optional authentication providers

4. Data Sharing

We do not sell your personal information. Your data is shared only in these contexts:

• Squad members see your display name, profile photo, check-in status (submitted or not), streak count, and any content you explicitly share via the Team Feed
• Club organizers see aggregate statistics only (participation rate, streak, last active). Organizers cannot see your check-in free-text responses, energy scores, or coach messages
• Human coaches (if you book a session) see your check-in history, goals, and HealthOS data (if you enable this in privacy settings)
• Service providers listed in Section 3 receive data necessary to provide their services

5. Data Retention and Deletion

Your data is retained as long as your account is active. You can request deletion of your account at any time through Settings > Account > Delete Account. Upon deletion:

• Your Firebase Auth account is deleted immediately
• All Firestore data (profile, check-ins, health data, coach context) is deleted within 24 hours
• Any active Stripe subscription is cancelled immediately
• Progress photos are deleted from cloud storage within 24 hours
• You are removed from all Squads and Clubs

Account deletion is permanent and cannot be undone.

6. Data Export

You can request a full export of your data in JSON format through Settings > Privacy > Export My Data. The export is generated within 24 hours and available for download for 7 days.

7. Security

We implement industry-standard security measures including encryption in transit (TLS/SSL), encryption at rest for stored data, and Firebase security rules that restrict data access to authorized users only. Access to production systems is limited to authorized personnel.

8. Children's Privacy

Pace is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have collected data from a child under 13, please contact us and we will delete it promptly.

9. Your Rights

Depending on your jurisdiction, you may have the right to:

• Access your personal data
• Correct inaccurate data
• Delete your data
• Export your data in a portable format
• Opt out of non-essential communications

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes via in-app notification or email. Continued use of the app after changes constitutes acceptance of the updated policy.
